AI Integration.

Practical AI for the way your business or organisation works.

Email and enquiries

Sort incoming messages, identify requests and prepare relevant draft replies for your team to review.

Documents and invoices

Extract details from forms, PDFs and invoices, check required fields and send exceptions to the right person.

Internal knowledge search

Help staff find answers in approved policies, procedures and project documents, with links back to the source.

CRM and service desk

Summarise customer history, suggest ticket categories and prepare record updates within agreed permissions.

Reporting and insights

Turn approved business data into draft summaries, highlight changes and make routine reporting easier to review.

People in control

Keep staff responsible for important decisions, with approval steps before messages, payments or sensitive changes.

Everyday work.

AI is most useful when it helps with a real task. ICON works with your team to identify repetitive administration, slow handovers and information that is difficult to find, then designs an integration around the systems you already use.

For example, an enquiry can become a draft service ticket with the relevant customer details attached. An invoice can be prepared for checking without approving a payment. Your team stays in control of what happens next.

How it works.

We connect selected information sources and applications through supported APIs and agreed access controls. This may include Microsoft 365, shared documents, a CRM, your service desk, accounting software or a custom web application, subject to the access and integration options available.

The AI prepares a suggestion or structured result. Validation rules check it, uncertain results go to a person, and only approved actions reach your business systems. We start with one clearly defined workflow and test it before expanding.

What we deliver.

A practical process, from the first workflow to day-to-day support.

1. Discover and prioritise

Map the task with your team, agree the scope and define useful measures such as review time, accuracy and exceptions.

2. Connect and protect

Identify approved data sources, assess provider settings and give each connection only the access it needs.

3. Configure and prototype

Build a small working integration with clear instructions, validation rules and review points.

4. Test with your team

Use representative examples to check quality, permissions, costs and failure handling before a wider rollout.

5. Roll out in stages

Introduce the workflow to a small group, document how it works and retain a manual fallback.

6. Monitor and improve

Review outcomes and usage against the agreed measures, then adjust the integration as your needs change.

Connected workflows.

From incoming information to a checked, useful result.

  4. Agreed actionA reply, record update or report
Example workflow: uncertain, incomplete or sensitive results are held for review rather than acted on automatically.

Privacy and permissions.

We agree what information may be used, who may access it and where it is processed. Provider retention, training-use settings, hosting location and contractual requirements are reviewed for the chosen service. Personal or sensitive information is minimised, with retention and logging tailored to the workflow.

Knowledge search must respect the source system’s permissions: connecting a document library should not make restricted records available to everyone.

Review and accountability.

AI can misread a document, miss context or produce an incorrect answer. Source references, field checks, exception handling and human review help your team spot these issues. External content is treated as information to assess, not permission to change system behaviour.

We agree which actions need approval and keep an appropriate record of what was proposed, reviewed and changed. Financial approvals, sensitive communications and consequential decisions stay with authorised people.

Key benefits.

Built around your team, your systems and your priorities.

  • Less repetitive copying, sorting and preparation
  • Clearer handovers between people and systems
  • Easier access to approved internal knowledge
  • Consistent checks before information is acted on
  • A measured rollout with visible costs and outcomes
  • Documented workflows your team can understand and manage
